This notice explains how Grampian Kidney patient’s Association (GKPA) collects, manages, uses and protects your data. It outlines the types of data that it holds and how it uses that data to provide services to its members and manage their interaction with GKPA.

When you consent to become a member of GKPA you will be asked for your name, address and contact details.

GKPA collects your personal information and data so that it can manage your membership and in pursuit of its legitimate interests. It will use it to inform members the details of social events, general meeting notices and other information about or connected with GKPA.

If you do not provide GKPA with all the personal information and data that it needs to collect, GKPA’s ability to offer the above membership services and benefits could be adversely affected. 

Where GKPA processes your personal information and data in pursuit of its legitimate interests, you have the right to object to it using your personal information and data for the above purposes. If GKPA accept and comply with your objection, this may adversely affect its ability to undertake the tasks above for your benefit as a member.

Your personal information and data are stored in GKPA’s electronic filing system and its servers based in the UK/EU. It also stores some personal information in typescript and manuscript on paper. The personal information and data held by GKPA are processed in accordance with all relevant data protection legislation and its practices are updated when that legislation is amended or replaced. Personal information and data are transmitted securely, protecting against unauthorised or unlawful processing, accidental loss, destruction or damage.

Your personal information and data will not be disclosed to any external organisations.

• you have a right to request access to the personal information that GKPA holds about you by making a “subject access request”
• if you believe that any of your personal information is inaccurate or incomplete, you have the right to request that GKPA correct or complete it
• you have a right to request that GKPA restrict the processing of your personal information for specific purposes
• if you wish GKPA to delete your personal information, you may request it to do so

At any time, you may:

• update your details
• specify your communication preferences
• contact the secretary to tell GKPA about your preferences.

If you exercise your right to be removed from GKPA’s database, GKPA will retain some core data such as your name and address for archive purposes and to minimise the possibility of its contacting you in the future inadvertently.
